Information collected
The Academy collects information needed to process training enquiries and registrations, create learner accounts, receive and verify payments, deliver classes and resources, assess learning, issue certificates, provide support and maintain operational records. This may include name, email, phone number, location, occupation, organisation, learning goals, registration selections, payment references, transfer evidence, assignment responses, portfolio/project links and files submitted for grading.
Optional analytics and cookies
The Academy may use optional analytics to understand how its public website is discovered and used, which course pages attract interest, where registration journeys lose users, and which campaigns contribute to enrolment. Where analytics consent is required, these measurements remain disabled until you accept them. Necessary cookies used for security, sessions and core Academy functions are separate and remain available if you choose “Necessary only”.
First-party analytics use pseudonymous browser and session identifiers. The Academy analytics store does not save raw IP addresses, names, email addresses, phone numbers, passwords, card details, assessment answers or uploaded learner content. Coarse country information may be recorded when it is supplied by the hosting/network layer. Analytics identifiers and events are retained only for the configured analytics retention period.
Google Analytics and Microsoft Clarity
If configured by an administrator, Google Analytics 4 may be used on appropriate public pages after analytics consent. Microsoft Clarity may also be used for aggregate interaction insights on public marketing pages. Clarity is deliberately excluded from registration, payment, sign-in, learner portal and administration pages. You can reopen your analytics preference from the website footer.
Virtual classes, recordings and transcripts
Where a class is recorded or transcribed, the Academy may receive the resulting recording, transcript or class-chat file from the configured virtual-class provider. Access is restricted by staff role and programme enrolment. Learners should be informed when recording or transcription is enabled, and Academy staff should use these materials only for legitimate training, quality, revision and administrative purposes.
How information is used
Information is used for Academy administration, learner communication, training delivery, attendance, grading and feedback, account security, payment reconciliation, certification, reporting and service improvement. Ostelnet does not require card details to be entered directly into the Academy; online payment is completed through the configured payment provider.
Access and protection
Learner, classroom, submission, payment and administration records are protected by account and role-based access. Transfer evidence, learner submissions and archived class media are stored outside the public asset directory and served through authorised application routes.
Sharing
Information may be processed by hosting, email, payment, virtual-class and, where enabled with consent, analytics providers used to deliver and improve the service. Ostelnet does not sell learner information. Information may be disclosed where legally required or necessary to prevent fraud and protect the platform.
Retention and requests
Training, payment, assessment and certificate records may be retained for legitimate operational, financial and verification purposes. Optional first-party analytics have a separate administrator-controlled retention period and do not replace the Academy's authoritative financial or learner records. Security responsibility
Learners should keep passwords private, sign out on shared devices, use only authorised portfolio sharing links and report suspicious account activity promptly.
